In a template, you use text blocks to add information. There are two types of text blocks available: Static text blocks and Editable text blocks.
Both blocks are used to include text in a template. Think of standard texts, explanations, or fields that will be filled in later. The key difference between these two types lies in their editability when completing a document. By choosing the right type of text block, you determine how much freedom the document author has when filling in the document.
- A static text block cannot be modified after it has been added to the template. This is suitable for text that should always remain the same.
- An editable text block, on the other hand, can be modified by the user who is filling in the document. For example, text can be added or removed depending on the situation.

Summary
Static text blocks
A static text block contains text that can only be edited in the template. The person filling in the document cannot modify this text. This type of block is useful when you want to add standard text that should always remain the same. Since static text blocks are not editable during the document filling process, it’s important to carefully consider the content before adding them to the template.
Add static text
Hover your mouse over the plus sign (+) below the block where you want to add the static text.
Select ‘Static text’ from the menu.

Editable text blocks
An editable text block is designed to be edited while filling in the document. The user can modify, add to, or even leave the text in this block empty. This type of block is useful if you want the document author to:
It is important to know that if approval steps are enabled for the template, these blocks will only be marked as “complete” after the document author checks them off.
Add editable text
Hover your mouse over the plus sign (+) next to the block under which you want to place this.
Select ‘Editable text’ from the menu.
When you add an editable text block, you choose whether the text must be filled in as mandatory or optional in the document.
Mandatory vs. Optional
Mandatory completion means that the document author must always make a change in the block. The default text must be modified or supplemented before the block can be checked off.
Optional completion means that the block may be edited, but it is not required. The default text can remain as is, be supplemented, or be left completely empty.
Editable text blocks are identified by the colored border on the left side:
Block type | Border color | Meaning |
---|
Mandatory completion | Blue border | Must be edited |
Optional completion | Gray border | Editing is not required |
Static text blocks have no colored border.
