Welcome to Docfield!

With Docfield, you can easily collaborate on documents and contracts, all in one place. You can fill in, edit, and sign documents. Docfield ensures this process is clear and fast. This guide is intended for Document Writers in a Docfield environment. It shows you step by step the most important features, helping you quickly get familiar with the platform so you can start filling in documents right away.

Log in

You have been invited to start as a writer in Docfield. You will receive an invitation link in your email, allowing you to set a new password immediately. After that, you can log in with your email address and password.


To log in, go to: https://app.docfield.com/



Document Overview

After logging in, click Documents in the main navigation. This will take you to the Documents dashboard, the central hub for all your documents. Here, you can easily find and open a document by searching for its name. You can also locate documents in a specific workflow, such as “In review” or “Ready for signature.” Additionally, you can search by Smartfields or other document properties and use various filters to find exactly what you need. This way, you always have a quick overview of all your documents and their status. More information: Read more about the Document Overview.

In the document editor, several additional features are available. You can easily navigate through headings using the sidebar or search for specific content via the search bar. You can also view comments, get an overview of smart fields, and track workflow steps and tasks in the to-do bar. It is also possible to view notifications and use the support menu for assistance. More information: Read more about navigating a Document.





Edit Document

Editing a document in Docfield is simple. You can read through the document at your own pace, and along the way, you will encounter various fillable elements. These include Smartfields, editable blocks, and choicelists. Below, you will learn what these elements mean and how to use them.


Smartfields

Fillable Smartfields are marked in blue. If the same Smartfield appears multiple times in a document, you only need to fill it in once. The system will then automatically populate it in all other locations. Once a Smartfield is completed, the icon changes to green. More information: Read more about Smartfields.

Editable Blocks

There are two types of editable blocks:

  • Blue border → these are mandatory fields that must always be filled in.

  • Grey border → these are optional fields. You may fill them in, but it is not required.

After filling in a text block, always click Save to ensure your changes are retained. In some documents, a completed block may need to be approved. The person responsible can approve the block by clicking the round circle on the right of the block. Once approved, the text can no longer be edited.

Choicelists

In a choice list, you can select one or more options. Sometimes you will see an editable choice list. In that case, you can enter your own text if the standard options do not fit. This custom text can then also be selected.

After selecting one or more options, always click Save to ensure your changes are retained.

Complete Section and Workflow Steps

Once a section is fully completed, click Approve Section in the top right. After this, no further changes can be made to that section.Have you completed the entire document? Click Complete Step. The document will then move to the next workflow step, for example, to a second reader. They can review the document and leave comments where necessary.Need to make changes after all?

  • If you are in a reading step, return to the writing step to make the adjustments.
  • If a section has already been marked as completed, you must first reopen it before making any changes.
