Document editor/overview guide
This guide explains more about the document overview (document editor) and what the options are here.
For convenience, we can divide the document overview into 3 sections:
- Left column; contains all (sub-)chapters
- Middle column; contains the editable content and a toolbar with options
- Right column; contains the document comments and further options
Left column - Chapters
On the left of the document overview, you will see the chapters. When you click on a chapter, the subchapters fold out. This allows you to easily navigate to a (sub)chapter you want to edit. You can also see per chapter how many comments have been posted and how many actions are unfinished.
Middle column - Content of document
The middle column consists of the content of the document and a toolbar with various options.
Firstly, the different content blocks:
- Editable text can be changed, then save and tick off to the right of the text block
- For choice lists, you make one or more choices. You save these and tick them off
- You cannot edit static texts, but you can give feedback on them. You do this by clicking on the text cloud to the right of the fixed text block and leaving a comment. See this article.
The toolbar options:
- By clicking on the clock you can see the recent activity in the document
- By clicking on the lightning icon, all smart fields in the document will appear on the right-hand side of the screen
- By clicking on the text cloud you can hide/show all comments
- Clicking on the options menu "..." brings up several options: (explained in the blue manuals!)
- Document properties; these can be modified
- Duplicate;
- Import content;
- Export to DOCX
- Export to PDF;
- Annotated PDF options;
- PDF archive; an archive of all downloaded PDFs
- Archive document;
- Delete document
Right column - comments and other options
1. The number of unfinished actions in the current workflow step; these can be smart fields that need to be filled in or choice lists, text blocks and tables that need to be approved.
2. The current workflow step in the document; click this to see the total workflow and deadlines per step.
3. Complete step; proceeding to the next workflow step is possible only when all workflow actions are completed.
