Once you have created a new template, you can use the default workflow in Docfield.
You can also choose to modify the workflow to your own liking. If you have a specific writing process or organizational process, you can set it up at the template level in Docfield. Keep in mind that workflows can only be set up at the template level and not at the document level. The workflow is ultimately used at the document level.
Each new template will contain the default workflow. The example below adds one workflow step, edits one workflow step and deletes another workflow step.
Creating a new workflow
1. Go to 'Templates' in the navigation bar at the top.
2. Select the desired template to edit. You do this by clicking on its name.
3. Click on the menu at the top right (the button with the 3 dots in the toolbar).
4. A menu opens, click on 'Workflow'.
5. Now a new window appears showing the current workflow, as shown in the example below.
Click on '+ New status'.
6. A new workflow step will appear. Enter the workflow name: 'Incorporating feedback', and choose a colour. In the description for this step, write: "Once the document has been checked, feedback can be processed". The "Read-only" button remains to the left, then writing can be done in the document. Notifications are left blank and the deadline is set later in the document.
Some more explanation on notifications:
Notification on entry: select a user to receive a notification (in Docfield and via mail) when documents of this template are moved to this status.
Exit notification: the same as the entry notification, but now when exiting the step.
Deadline: set the deadline for this step.
7. Click 'Save'.
8. The step is added to the workflow list at the bottom. Use the arrows on the left-hand side of the coloured circle to move the status between 'Check' and 'Approved'.
Editing a workflow
1. Perform steps 1 to 4 of 'Creating a new workflow'.
2. Click on the 3 dots to the right of the workflow step 'Approved' and select 'Edit'.
3. Change the title of the workflow step to 'Control of improvements'.
4. Click on 'Save'.
5. The new title of the work flow step now has been changed
Delete workflow
1. Perform steps 1 to 4 of 'Creating a new workflow'.
2. Click on the 3 dots to the right of the workflow step 'Control of improvements' and select 'Delete'.
3. The workflow step has now been removed.
