In Docfield, you can set the numbering of your documents in two ways: through general settings or directly per template. Do you want to use a standard numbering structure for multiple templates? Then go to Settings > Numbering to create one or more numbering presets. You can then easily select these presets when designing a template. This saves time and ensures consistency because you don’t have to manually adjust the numbering for each template. Would you rather use a unique numbering structure per template? You can also set the numbering directly there.

Managing default presets

Each environment in Docfield contains two default numbering presets. You can manage these presets in the following ways:

  • Edit – Adjust the settings of an existing preset.

  • Copy – Create a duplicate of a preset to quickly make a variant.

  • Delete – Remove a preset you no longer need.

  • Set as default preset – Set a preset as the default for new templates.


Note: A preset marked as default cannot be deleted. If you want to delete it anyway, first assign another preset as the default.

Create new numbering

Would you like to set your own numbering preset? Then click on New numbering. You can:

  • Provide a name – This helps you easily recognize the preset.

  • Add a description – Useful for template authors to understand the purpose of the preset.

After that, you set the numbering for each heading or paragraph:


Settings per heading or paragraph level
For each heading or paragraph, you can configure the following settings:

  • Numbering on/off
    Toggle numbering on or off for all headings or paragraphs at that level. For example, you can turn off numbering for all paragraphs.

  • Restart numbering after
    Decide whether the numbering should restart after a certain heading.

  • Options:

    • Never – The numbering continues sequentially.

    • After a certain heading – The numbering restarts from that point. This is the most common option; for example, it ensures that the first article (H2) within a chapter (H1) always starts with number '1'.

  • Label and number format

    • Label – Choose a label from the list to appear before the numbering (such as "Article"). Don't need a label? Then select No label.

    • Number format – Use codes to refer to heading levels:

      • [h1] for heading 1, [h2] for heading 2, and so on.

      • You can combine these, for example: [h1].[h2]

  • Numbering style
    Choose how the numbering is displayed:
    • Numbers (1, 2, 3)

    • Letters (A, B, C)


Finally, click Save to save the new preset.


You can also adjust these settings manually per template, without using a preset. This is useful if you only want to make small changes for a specific document.





Document numbering

Sometimes you hide parts of a document using conditions (for example: making a chapter visible only for a specific type of program). This can result in skipped or duplicated numbers, which looks messy.

The new document numbering solves this automatically:

  • Hidden blocks are not included in the numbering.

  • Numbers are always shown in a consecutive sequence.

  • Internal links within the document automatically update.

  • Numbering is also correctly maintained for attachments.


Numbering types

In the settings, you can choose between:

  • Fixed numbering (default): numbers are calculated based on the Template. Useful if you want all documents to have exactly the same numbering pattern.

  • Dynamic numbering: numbers are calculated per document, taking into account which blocks are visible. This ensures consecutive numbers without gaps, even if some blocks are hidden.


Setting up numbering

  1. Go to the Numbering settings of the template.

  2. Choose whether you want to use Fixed or Dynamic numbering.

  3. Save the settings.


Example

Imagine you have chapters 1, 2, 3, and 4. Chapter 3 is hidden due to a condition.

  • With fixed numbering, you see: 1, 2, [gap], 4
  • With dynamic numbering, you see: 1, 2, 3 (because the numbering is automatically adjusted)




Using a preset in a template

Want to apply an existing numbering preset to a template? Follow these steps:

  1. Open the desired template.
  2. Click the three dots (more options) in the top right corner.
  3. Select Numbering settings.
  4. Click Select preset.
  5. Choose one of the previously created presets from the list.

The selected preset will now be applied to the template, including all associated numbering settings.





Note: Only environment owners can change these settings. Template authors can apply a preset but cannot create new presets or modify existing ones.



Adjust numbering per heading

In the template, you can turn numbering on or off for each heading. By clicking on the heading, you can choose to disable numbering for that specific heading or assign a custom number to it.
