Folders

Folders are an easy way to organise your documents and your templates. You can use folders to group your templates and documents for different users. There are two folder systems, one for templates and one for documents. You can put subfolders in folders to group your documents even more.

Creating Folders

You can easily create folders by opening your 'Documents' or 'Templates' and then selecting the root folder that you want to create a folder in. If you don't have any folders yet, you can only create folders in your root folder, which has the same name as your client environment by default. Simply hover the folder you want to create a new folder in, and press the 'plus' button.

To create / manage folders, you need to be an owner on that environment, or have at least Full Access on the folder.

Editing Folders

To change the name of a folder, or share a link to a folder, simply click the 3 dots menu when hovering the folder and select the option.

Re-ordering folders

You can easily re-order folders by dragging and dropping then in, or above/below other folders.

Permissions on Folder level

In Docfield, you can invite users to read/edit/manage/comment on one specific Template or Document, or invite them on a bunch of Templates/Documents at once by inviting them to the the containing folder. When someone is invited on a folder with a certain permission, any subfolders and documents/templates in those subfolders will automatically inherit that permission.

For instance, you may want to put al your HR related templates in a folder called 'Legal' and give all legal managers edit access to them. Then, you can create a subfolder 'NDAs' and give all employees in the organization access to this folder. Since subfolders inherit the access from the folders above, the managers can automatically also edit NDA's. Employees however won't be able to edit the NDA's (and only read them) and they won't be able to access the Legal folder except for the NDA's subfolder.
