Adding & Managing Attachments (ENG)

Sometimes a document contains information that doesn’t fit well into the chapters, such as large tables, figures, or additional text. In such cases, you can use attachments. Attachments are always added in PDF format, giving you maximum flexibility. This allows you to easily link one or more pages containing tables, images, or other information.

Types of attachments

There are three types of attachments that can be set up from the Template:


Fixed attachments (template attachments)

  • Are directly linked to the template.

  • Are always the same in every document created from this template.

Mandatory document attachments

  • Must be uploaded by the document author.

  • Are required for every document created from this template.

Optional document attachments

  • Can be added by the document author at their discretion.

  • It is not mandatory to include them.

Additional Attachments

It is also possible to allow document authors to add additional attachments outside of the template attachments (for example, when each document has a completely different set of attachments).


To set this up:

  1. Go to the template properties in the Template.

  2. Enable the option “Allow users to add extra attachments in documents.”

After this, authors can decide for themselves how many and which PDFs they want to add as attachments.

Setting up attachments in the Template

  1. Open the Template.

  2. Click + Add Attachment in the sidebar.

  3. Upload the PDF file.

  4. If needed, set the desired options (see below).


Attachment Options

When you add an attachment, you can use the following settings:

  • Automatic numbering: A number is automatically added before the attachment title.
  • Attachment type: Choose one of the three types of attachments.
  • Upload PDF: Upload a PDF file as an attachment.
  • For template attachments, this is always required.
  • For document attachments: required for mandatory attachments, optional for optional attachments.
  • Cover page with title: Adds a separate page with only the attachment title.
  • Show header in PDF: The header set in the template will also appear in the attachment (if the attachment has a white background).
  • Show footer in PDF: The footer set in the template will also appear in the attachment (if the attachment has a white background).





Using attachments in a document

When an author creates a new document based on a template, the fixed and mandatory attachments are added automatically. Additionally, depending on the template settings, the author can add extra attachments themselves.


Filling in an attachment in a Document

  1. Open the Document.

  2. Click on the attachment you want to fill in at the bottom of the sidebar.

  3. Upload the desired PDF file.


Adding an extra attachment in a Document

  1. Open the Document.

  2. Click in the sidebar and select + Add Attachment.

  3. Upload the desired PDF file.

  4. If needed, set the desired options (these are the same options shown above under Setting up attachments in the Template).


Approving attachments

  • For mandatory attachments, a file must first be uploaded.

  • Afterwards, the section can be approved.


Making edits

Do you want to edit or delete a mandatory attachment after the section has already been approved?

  1. Set the document back to a writing step.

  2. Unapprove the section.

  3. Delete the old attachment or make the necessary changes.
